10:00   Development and Implementation of Formalized SharePoint Governance

and Architecture Following Three Years of Informal Governance Within an

           R&D Organization

Like many other companies, Eli Lilly leaped into the world of SharePoint in 2007.  This new technology clearly offers tremendous potential to improve collaboration via electronic information sharing.   However, in the hands of a highly creative workforce with little guidance, structure or official training on this tool, we quickly evolved a proliferation of collaboration sites.  In some cases the sites were redundant.  Often there was inconsistent use of metadata or organizational structure.  Many sites did not have clear ownership or stewardship of the information they contained which became out-dated.   Consequently, while collaborative sharing of information increased, the productivity of those using the system was far from optimal.

To address these issues, the Product Research and Development business has undertaken a series of Six Sigma projects to implement formalized governance and architecture for our SharePoint deployment.  The goal of this redesign is to enable more logical navigation and improve retrievability of documents, searching and security.  The solutions that have been developed as a result of our Six Sigma efforts will be reviewed.  Additionally, we will discuss the results that have been achieved and the challenges that have been encountered.

Amanda McDaniel, Senior Process Engineer/Six Sigma Black Belt

Theresa Mason, Manager, Business Process Operations

11:15   Supporting Your Business with SharePoint

It takes a lot to run a business but leveraging what SharePoint has to offer can make the job much easier.   West takes advantage of SharePoint’s flexibility and functionality to manage our on-line content and to help provide additional services to our customers by streamlining many of the traditional paper-based, manual processes. During this session, we will show how SharePoint was used to create our multilingual corporate website and a ‘Customer Corner’ portal for our clients.  This discussion will also cover the use of InfoPath forms and customized workflows to automate and manage client requests and inquiries.   Other key considerations, such as security, branding, and global site management will also be discussed.

Kathleen Sutcliffe, Manager of Corporate Applications

The discussion will also capture user testimonials, highlight business processes and potential next steps for what I like to refer to as – the SharePoint Revolution.

Rishi Ohri, IT Manager, R&D Account, Astellas Pharma US

2:00   Implementing a SharePoint Infrastructure to Meet the Needs of the Business

As companies begin to roll out SharePoint across the enterprise, it is important to provide a support infrastructure that will facilitate adoption and leverage all the functionality SharePoint has to offer.  At Novartis’s Institute for BioMedical Research,  the deployment of SharePoint is being supported by a dedicated group of SharePoint designers work closely with the business community to develop SharePoint solutions that address various business needs.   This session will discuss the infrastructure, processes, and tools being used to manage the interaction between the business users and the SharePoint support group.  Additionally, examples of some of Novartis’ SharePoint solutions will be demonstrated.

Dallas Rose, SharePoint Service Manager/Administrator, NOVARTIS

Clinical Teams are becoming more decentralized and still rely heavily on paper based processes, especially during the set-up phase of a study.  Increasingly, pharmaceutical companies are exploring the use of investigator portals, to help streamline the clinical trial management process.  This session will demonstrate how SharePoint can be used to create investigator portals to not only manage site documentation but reduce cycle times.
